SafetyBriefer™ ("we," "our," or "us") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our mobile application SafetyBriefer (the "App").
Please read this Privacy Policy carefully. By using the App, you agree to the collection and use of information in accordance with this policy. If you do not agree with the terms of this Privacy Policy, please do not use the App.

How Your Information Is Stored
Local Storage (On Your Device)
The vast majority of your data is stored locally on your device and never leaves it. This includes:
Your complete profile information
All generated safety meetings and their content
All incident reports (near miss, injury, vehicle, safety walks)
Photographs and signatures
Attendee information
Meeting history
App preferences and settings
Disclaimer acceptance records
Team membership information
We do not maintain a cloud database of user content. Your safety meetings, incident reports, and personal information remain on your device unless you explicitly choose to share them.
Data Retention
Local Data: Persists on your device until you delete the App or clear App data
Shared Meeting Links: Meeting data is encoded directly in the URL; no server storage
Uploaded Images: Safety cartoon images uploaded for web sharing are hosted by imgBB until removed or a deletion request is processed.
Subscription Data: Managed by RevenueCat according to their privacy policy
How We Use Your Information
On-Device Processing
Most of your information is used solely on your device to:
Personalize safety meeting content to your industry
Pre-fill forms with your profile information
Display your meeting and incident history
Calculate analytics and trends
Enable text-to-speech functionality
Third-Party Services
To provide certain features, we transmit limited information to third-party services:
OpenAI (Meeting Generation, Chat, Translation)
What we send: Meeting topics, industry type, work descriptions, chat questions, meeting text for translation
What we DO NOT send: Your name, company name, email, phone number, attendee information, photographs, signatures, or any personally identifiable information
Purpose: Generate AI-powered safety meeting content, respond to chat questions, translate meetings
Data retention: OpenAI processes requests without retaining your data (stateless API calls)
Nano Banana API (Cartoon Generation)
What we send: Topic descriptions for image generation
What we DO NOT send: Any personal or company information
Purpose: Generate safety-themed cartoon illustrations
Data retention: Stateless API calls with no data retention
imgBB (Image Hosting)
What we send: AI-generated safety cartoon images only
What we DO NOT send: Meeting content, personal information, photographs from incident reports
Purpose: Host cartoon images for web-based meeting viewing
Data retention: Images hosted on imgBB servers until removed or a deletion request is processed.
Image removal request: AI-generated safety cartoon images used for web-based meeting viewing are hosted by third-party image hosting provider imgBB. While these images do not contain personal data submitted by users, they may be associated with shared meeting content. If you wish to request removal of an image generated through the App, you may contact us at support@safetybriefer.com with the meeting link or image URL. We will submit a removal request to the hosting provider on your behalf. Because these images are hosted by a third party, we cannot guarantee immediate or complete deletion from all systems, including cached or archived copies, but we will make reasonable efforts to facilitate removal.
RevenueCat (Subscription Management)
What we send: Anonymous user identifier, purchase transactions
What we DO NOT send: Your name, email, company, or any content you create
Purpose: Manage Pro subscription, process payments, verify entitlements
Data retention: According to RevenueCat's privacy policy
Email Forwarding
If you configure email forwarding in Settings, completed safety meetings are sent to the email addresses you specify. This transmission occurs directly from your device using your device's mail capabilities.
Information Sharing
We Do Not Sell Your Data
We do not sell, rent, or trade your personal information to third parties for marketing purposes.
Limited Sharing
We share information only as described in this Privacy Policy:
With Third-Party Service Providers: As detailed above, limited technical data is shared with OpenAI, Nano Banana, imgBB, and RevenueCat solely to provide App functionality.
When You Choose to Share:
When you generate a QR code or shareable link, the meeting content is encoded in the URL
When you share a PDF report, you control who receives it
When you join a team, you choose to share aggregate analytics with team members
Team Analytics Sharing:
Only aggregate data is shared between team members (meeting counts, dates, topics)
Individual meeting content, attendee details, and incident reports are NEVER shared through Team Analytics
You can leave a team at any time, which removes your data from team analytics
Legal Requirements: We may disclose information if required by law, court order, or government request.
Data Security
We implement appropriate technical and organizational measures to protect your information:
Local Storage: Your data is stored on your device using standard mobile security practices
Encryption in Transit: All API communications use HTTPS encryption
No Cloud Database: By not maintaining a central database of user content, we minimize the risk of data breaches
API Key Security: All API credentials are stored as environment variables, never hardcoded
Your Rights and Choices
Access and Control
Because your data is stored locally on your device, you have direct control over it:
Access: View all your data within the App at any time
Correction: Edit your profile and any saved information directly
Deletion: Delete individual meetings, reports, or clear all App data through your device settings
Export: Export your data as PDF reports or CSV files
Opt-Out Options
Email Forwarding: You can disable or modify email forwarding at any time in Settings
Team Analytics: You can leave any team at any time
Push Notifications: Manage through your device's notification settings
Data Portability
You can export your safety meetings as PDF documents and your analytics data as CSV files at any time.
Children's Privacy
SafetyBriefer is not intended for use by individuals under the age of 18. We do not knowingly collect personal information from children. If you are a parent or guardian and believe your child has provided us with personal information, please contact us so we can delete such information.
International Users
SafetyBriefer is operated from the United States. If you access the App from outside the United States, please be aware that your information may be transferred to, stored, and processed in the United States where our servers and third-party service providers are located. Where applicable, such transfers are subject to appropriate data protection safeguards as described in the GDPR section below.
Changes to This Privacy Policy
We may update this Privacy Policy from time to time. We will notify you of any changes by:
Posting the new Privacy Policy in the App
Updating the "Last Updated" date at the top of this policy
For material changes, displaying an in-app notification
Your continued use of the App after any changes indicates your acceptance of the updated Privacy Policy.
Third-Party Links and Services
The App may contain links to OSHA.gov and other third-party websites. This Privacy Policy does not apply to those external sites. We encourage you to review the privacy policies of any third-party sites you visit.
California Privacy Rights
If you are a California resident, you have specific rights under the California Consumer Privacy Act (CCPA):

Right to Delete: You can request deletion of your personal information

Because your data is stored locally on your device, you already have direct access to and control over your information.
European Privacy Rights (GDPR)
If you are located in the European Economic Area (EEA), United Kingdom, or Switzerland, you have certain rights under the General Data Protection Regulation (GDPR) and related data protection laws. For purposes of European data protection law, SafetyBriefer is the data controller responsible for the processing of personal information described in this Privacy Policy.

Performance of a Contract
Processing is necessary to provide the functionality of the App, including generating safety meetings, storing reports locally on your device, and enabling features you choose to use.
Legitimate Interests
We process limited technical and usage information to maintain App performance, improve reliability, prevent misuse, and ensure security. Because most user data remains on your device and is not stored in a central database, our processing is designed to minimize privacy impact.
Consent
Where you choose to use optional features that involve third-party services (such as AI meeting generation, translation, or image creation), you consent to the transmission of the specific content needed to perform that function. You may withdraw consent at any time by discontinuing use of those features.
Your GDPR Rights
Subject to legal limitations, you have the following rights:
· Right of Access – You can access the personal information processed through the App.
· Right to Rectification – You can correct or update your information at any time.
· Right to Erasure ("Right to be Forgotten") – You can delete meetings, reports, or all App data from your device. This includes requests to remove AI-generated images hosted on third-party services associated with shared meetings.
· Right to Restrict Processing – You may limit processing by disabling features that transmit data to third-party services.
· Right to Data Portability – You can export your information as PDF or CSV files at any time.
· Right to Object – You may object to processing based on legitimate interests.
· Right to Lodge a Complaint – You have the right to file a complaint with your local data protection authority.
Data Storage Model
SafetyBriefer is designed so that most personal data is stored locally on your device and is not maintained in a centralized cloud database. We do not host or store your meeting content, reports, photographs, or profile information on our own servers.
International Data Transfers
SafetyBriefer operates from the United States. When you use certain features, limited data may be transmitted to service providers located outside the EEA, including AI processing services, image hosting services, and subscription management services.
These transfers occur only when necessary to provide the requested feature. Where personal data is transferred outside the EEA, we rely on appropriate legal safeguards such as Standard Contractual Clauses (SCCs), service provider data processing agreements, and the providers’ privacy and security commitments to ensure your information remains protected in accordance with applicable data protection laws.
